These Terms and Conditions govern the use of HEC Hospitality's website and services, including corporate travel assistance, hotel bookings, event hospitality, exhibition accommodation and related coordination services.
1. Acceptance of Terms
By accessing this website, submitting an enquiry, requesting a proposal, confirming a booking or using any service offered by HEC Hospitality, you agree to these Terms and Conditions.
2. Scope of Services
HEC Hospitality provides professional support for corporate hospitality and travel-related requirements.
- Hotel accommodation sourcing and reservation support.
- Corporate travel coordination for individuals and groups.
- Exhibition accommodation, event hospitality and delegate support.
- Banquet, venue, transport, visa, flight, bus and train coordination where applicable.
- Vendor coordination, documentation and service assistance.
Unless specifically stated, HEC Hospitality acts as a facilitator and coordinator between clients and third-party service providers.
3. Booking Confirmation
A booking or service request shall be treated as confirmed only after availability is verified, applicable payment or written approval is received, and confirmation is issued by HEC Hospitality or the concerned supplier.
Availability, rates and inclusions remain subject to confirmation by hotels, venues, transport partners and other suppliers.
4. Pricing, Taxes and Payments
All prices are subject to availability, taxes, supplier terms, event-period pricing, currency fluctuations and changes imposed by third-party partners. Rates may change until the booking is confirmed.
- Applicable GST, statutory taxes, service charges or convenience fees may be charged additionally.
- Payment timelines must be followed as mentioned in the quotation, invoice or confirmation email.
- Failure to make payment within the specified timeline may result in release of rooms or cancellation of services.
5. Client Responsibilities
Clients and users are responsible for providing accurate and complete information required for bookings and service delivery.
- Correct guest names, travel dates, contact details and billing information.
- Valid identity documents and travel documents, where required.
- Timely approvals, payments and communication.
- Compliance with hotel, airline, venue, transport and event organiser policies.
6. Third-Party Supplier Terms
Hotels, airlines, venues, transport providers and other vendors operate independently. Their own rules, cancellation terms, refund timelines, check-in policies and service conditions may apply to your booking.
7. Changes, Modifications and Special Requests
Any request for date changes, name changes, room category changes, occupancy changes, early check-in, late check-out or special arrangements shall be subject to supplier approval and availability. Additional charges may apply.
8. Limitation of Liability
HEC Hospitality shall not be liable for indirect losses, consequential damages, business interruption, loss of profit, missed events, supplier failures or delays caused by circumstances beyond our reasonable control.
Where liability is established, it shall be limited to the amount paid to HEC Hospitality for the specific service giving rise to the claim.
9. Force Majeure
HEC Hospitality shall not be responsible for failure or delay in performance due to events beyond reasonable control, including natural disasters, government restrictions, pandemics, strikes, transport disruption, political unrest, supplier shutdowns or other unforeseen events.
10. Intellectual Property
All website text, design, graphics, logos, images, layout and other content are owned by or licensed to HEC Hospitality and may not be copied, reproduced or used without written permission.
11. Governing Law
These Terms and Conditions shall be governed by the laws of India. Any dispute shall be subject to the jurisdiction of courts located in Mumbai, Maharashtra.
